- July 20, 2024: Car Club Meeting: Grindstone in Berea
- August 5, 2024: Application process begins for vehicle entries.
- August 12, 2024: Vendor renewals commence. Vendor Specialist Mike Halloran will contact commercial vendors to renew agreements for the 2025 show.
- October 31, 2024: Deadline for commercial vendor renewals.
- November 1, 2024: Open sales begin for new commercial vendors.
- November 29, 2024: Final deadline for all vehicle applications.
- December 1 – 14, 2024: Acceptance and Placements Committee finalizes the show floor layout.
- December 15 – 28, 2024: Welcome kits are mailed to accepted participants. Non-accepted entries are returned.
- January 15 – 31, 2025: Hot Rod Asylum Acceptance and Placements Committee finalizes Hot Rod Asylum floor.
- February 1 – 15, 2025: Hot Rod Asylum welcome kits are sent to accepted participants. Non-accepted entries are returned.
- March 26, 2025: Wednesday Move-In: 8:00 am – 8:00 pm.
- March 27, 2025: Thursday Move-In: 8:00 am – 8:00 pm.
